What this is. A one-time (or once-a-year) setup that defines your company's accountable plan under Treasury Regulation § 1.62-2: who is covered, which expenses the plan reimburses, the spending limits by role, and how reimbursements are approved and paid. Reimbursements paid under a compliant plan are deductible to the business and tax-free to the employee — no W-2 income, no payroll tax.
How to use it. Fill in the sections below, generate the policy document, then sign it on screen. Once it's signed the plan locks so the terms can't drift out from under the signatures. Everything you enter here feeds the Log tab automatically. Changes save to Taxanista's secure server as you go — there is no file to move between screens or devices.

List everyone the plan covers. Each person is assigned a role — Owner, Manager, or Staff — and each expense category can be turned on for specific roles with its own spending limit. Add a row per person.

Turn on every category the plan should reimburse. For each one you turn on, pick which roles may claim it and set an optional limit — a dollar amount and how often that limit resets (per submission, monthly, quarterly, or annual). Leave a role unchecked and that role can't claim the category. Categories you don't turn on are not reimbursable under the plan.
Generate the policy document, review it, then sign it on screen. Both the owner and the plan administrator sign here in one sitting — if they're the same person, that person signs both lines. Once the last line is signed, a copy of the executed document is filed automatically on the Documents tab.

Personal vehicle used for business, reimbursed at the IRS standard rate. A contemporaneous log (date, destination, purpose, miles) backs it up. Commuting doesn't count.
Business-use share of household costs. Mortgage principal and depreciation are excluded by design. Custom lines must benefit the whole home.

Signed plans are filed here automatically. Each time the plan is fully signed, a self-contained copy of the executed document — signatures and signature record included — is saved to this list and marked SIGNED PLAN. Amending the plan never removes an earlier copy, so the version in force during any period stays producible. Those copies open and print on their own.
Helpful to have on file: most recent mortgage statement or lease and a utility bill (home office); cell & internet bills; property tax / insurance page; and receipts for recurring items.
